Responsible to:           School’s Business Manager


Main Purpose of the job:


  • To be an ambassador for the school when meeting parents and other visitors and to act as a first point of reference when people arrive
  • To provide secretarial, clerical and administrative support to the Headteacher, Deputy Headteacher, Senior Administrative Officer and other staff
  • Contribute to the overall ethos/work/aims of the school and meeting the needs of the children
  • Be aware of and support difference and ensure equal opportunities for all






Main Areas of Responsibility


  1. ‘Model’ excellent professional relationships with children, parents and other professionals in the school
  2. Provide an excellent administrative service to all sections of the school community regardless of race, sex, background or
  3. Perform Receptionist duties throughout the school day: acting as first point of reference for students, parents, visitors and staff members.
  4. Receiving telephone calls and dealing with parents and staff enquiries.
  5. Offer helpful, friendly, approachable and professional service at all times and take appropriate actions and own initiatives in resolving matters, referring more serious matters to appropriate member of
  6. Adhere to school procedures and ensure that staff and parents receive messages (telephone, email, face-to-face) promptly and
  7. Maintain notice boards and distribute
  8. Provide general confidential secretarial service to Headteacher, Deputy Headteacher, Senior Administrative Officer and other staff.
  9. To deal with the order requisition and ordering cleaning products for the cleaners and stationary for admin office.
  10. Ensuring school’s calendar is up to date.
  11. Providing admin support for open days.
  12. To provide first aid to the students and sending first aid slips to the parents.
  13. To provide administrative support for the events such as sport day, parents evening etc.
  14. To manage school’s trips and provide administrative assistance such as setting up trip payments, chasing up parents regarding due payments and dealing with trips’ enquiries.
  15. To deal with the school’s lunch management, set up menu, sending electronic links to the parents and sending orders to the supplier.
  16. To deal with the petty cash.
  17. Comply with policies and procedures covering child protection, health, safety and security
  18. Contribute to safeguarding the welfare of children in the school
  19. Maintain the security of property in a way that is consistent with your organisation’s procedures and legal requirements, reporting any concerns about safety and security to the appropriate person
  20. Maintain the visitors log book and ensure all visitors and contractors can be identified by wearing clearly visible badges


21.     Regularly review own practice, set personal targets and take responsibility for own personal development

  1. Take responsibility for your work, encourage and accept feedback from your colleagues and your line manager and respond to or adapt to change as required
  2. Take an active part in the Performance Management process with your line manager, sharing your success stories as well as your challenges
  3. Keep an up to date professional portfolio
  4. Continue to learn and develop as a professional, completing induction, attending relevant training to update knowledge and skills, enhancing qualifications

Skills & experience you will need:

  • Previous admin experience will be preferable.
  • Good ICT skill, especially in Microsoft excel and word. Able to prepare excel reports.
  • Excellent spoken and written communication skills
  • Methodical and well-organised
  • Able to work accurately and pay attention to detail
  • Literacy and numeracy
  • Be a good team worker
  • Able to prioritise work
  • Able to work in busy environment
